How your website's data works (tables and records)

Open the site, switch to Dashboard and open Data. A site's data is a set of tables - the two system tables every site starts with and the custom ones you add - kept separate per site and linked to the core records, so nothing lives only on the website and nothing is counted twice.

Leads
One row per form submission on the site, whether the form is the site's own or a connected Engage form. Its fields are the union of the site's form fields (name, email, phone, message, the form and the page, plus every question a form asks); each row links to the lead in the "<Site> - Website" table and to the Engage submission.
Bookings
One row per booking made on the site: name, email, phone, the service, the slot, the deposit and the status, linked to the appointment, the client and the submission. Leads and Bookings cannot be renamed or deleted; they can grow new fields.
Dashboard > Data - Leads and Bookings first, then the custom tables, each with its record count.
  1. 1
    Custom tables by chat

"Create a table of testimonials on the Ridgeway Roofing site with quote, author, rating and published" shows a confirm card and creates it. Field types: text, long text, number, date, yes / no, a dropdown with options, email, phone and link - up to 40 fields. "Add a record to the testimonials table: ..." adds a row; "rename the rating field to Stars" changes the fields. Every action has a 15-minute Undo; deleting a table or a record is done on the page, never by the assistant.

  2. 2
    Or on Dashboard > Data

New table, edit fields, New record, edit and delete a record - for members with the Websites edit permission. A table opens as rows with the fields as columns, search, 25 rows a page and a row detail.

  3. 3
    Export

Export CSV on any table downloads the rows newest first (up to 10,000), the field labels as headers plus Created, Lead, Appointment and Client columns; a cell that looks like a formula is neutralized so a spreadsheet never runs it.

The linked records
A row's detail shows the lead, the appointment and the client it points to and opens them - the lead in its table, the appointment on the Schedule, the client's record. A link to a record that was deleted reads as empty, never as someone else's data.
Genaya AI
"How many leads came through the Marlow Advisory site this week?", "List the bookings from my website with a deposit" and "Which testimonials are not published yet?" are answered from the site's tables, with the counting definition under the answer.
Home
The Websites widget on Home - and the Websites card in the mobile app - adds the records added this month across your sites next to visits, leads and bookings.
Tables per site
3 on the trial (Leads, Bookings and one of your own), 5 on Individual, 15 on Pro, 50 on Business, unlimited on Enterprise. Creating a table past the limit shows the plan notice.
Records per site
1,000 on the trial, 20,000 on Individual, 100,000 on Pro, 500,000 on Business and 500,000 on Enterprise, counted across every table of the site. A visitor's form or booking always lands as a row; the limit applies when a member or Genaya AI adds a record by hand, and to the rows visitors of an app add through its form. Exports and the tables themselves are included - there is no extra meter.
Visibility
Every custom table is Private (your team only), Visitors (signed-in visitors of the site's app add rows through an Add a record block and see their own in a Records block) or Public (everyone sees every row; signed-in visitors add their own). A table Genaya AI creates for an app starts as Visitors; change it next to the table's name on Dashboard > Data (the Websites edit permission, Pro and above for Visitors or Public). Leads and Bookings stay private; the badge on a table's row shows Visitors or Public.
Visitors
The card under the tables lists every account that signed in to the site's app: email, name, joined, last seen, how many records, Active or Blocked, 25 at a time with Load more, and the plan's accounts line (2,500 on Pro, 10,000 on Business, 50,000 on Enterprise). Block signs the person out everywhere at once and refuses new sign-ins until Unblock; their rows stay with their account. The card needs the Websites data permission; blocking or unblocking also needs the edit permission.
Permissions
The Websites data permission under Marketing opens Dashboard > Data, searches, exports and the Visitors card (see the accounts); the Websites edit permission creates tables and records, edits or deletes them, changes a table's visibility and, with data, blocks or unblocks a visitor account. A member without the data permission reads "The website's data is not turned on for your role. Ask an admin to add the Websites data permission under Marketing." - on the page, on the phone and from Genaya AI.
On the phone
The Websites tab's site sheet has a Data row: the tables, the rows and a row's detail with the same links, read-only. Creating tables and records stays on the web or in a Genaya AI chat.
infoAcross industries: a clinic's intake form fills the site's Leads table with the reason for the visit next to the lead it created; an adviser's consultation booking fills Bookings with the slot and the client; a roofer's inspection portal adds a custom Inspections table with the address, the roof type and the report date, linked to the appointment.
warningDeleting a site moves its tables and records to the 30-day trash with it; after 30 days they are removed for good. The leads, appointments and clients the rows point to are never touched.
