How External Employees work

Not everyone who works with you is on your payroll. External Employees adds outside workers to your team list as record-only members, so you can assign them appointments without giving them a login or paying for a seat.

External members sit on the same team list as everyone else, with no login.
infoExternal Employees is available on the Business plan and up, and it ships off. An owner or admin turns it on in Settings -> Features.

Add an external employee

  1. 1
    Start a new team member

    Go to Operations -> Team and click Create Team.

    Pick the user type

    Choose the External Employee card. It stays locked until the feature is on.

    Enter their details

    Add their name, email, and phone. External members never sign in, so Genaya sends no invitation.

    Review and create

    To let them know, tick Email them that they've been added to your Genaya workspace. It sends a one-time note and creates no login or account. It is off by default.

Assign work and reach them

External members can be assigned to appointments like the rest of your team. Open the member under Operations -> Team and use the Services and areas card to set what they can be scheduled for, and where.

warningExternal members have no login, so they get no notifications in the app, and Send in app cannot reach them. Reach them with Send SMS from the appointment.

Commissions and the Tax Center

Commissions
PayDesk -> Commissions has a report for external payees and their appointments, and the team report covers employees and external employees together.
Payroll runs
External members are never on a payroll run.
W-9 status
In PayDesk -> Tax Center the member shows as External (1099). Open their tax profile to set W-9 to Not requested, Requested, or Received.
infoExternal Employees does not track documents, licenses, or insurance. You get the team record, commissions, and W-9 status.
