How to assign a payment to a company

GenayaPay is set up once per workspace - one account, one bank, one payout schedule - and every payment it collects is stamped with a company. A payment collected against an invoice or an appointment inherits that record's company automatically; a standalone charge takes the company you pick in Collect payment. In a workspace with a single company nothing changes on screen: the company is applied silently.

Pick the company in Collect payment

  1. 1
    Open Collect payment

From the GenayaPay header, an invoice, an appointment, or the phone app. The Company field starts empty - nothing is picked for you.

  2. 2
    Choose the company

The Company field sits directly above Collected by. It shows whenever your workspace has a company. It is optional: pick a company, pick No company to keep the payment unassigned, or leave it empty and Genaya uses the invoice's, appointment's or client's company, or your only company, when there is one.

The Company field above Collected by - prefilled with your company, optional.
  3. 3
    Charge or record as usual

Card, bank debit, card reader, Tap to Pay, financing, or a manual record - every path carries the company onto the payment, and the receipt is branded with that company's name, email, and phone.

What carries the company

  • Payments - every charge and manual record, whichever door it came through: Collect payment, the client portal, a payment link, Tap to Pay, a card machine, a booking deposit, a subscription cycle, or the public API.
  • Refunds and disputes - through the payment they belong to; the Disputes list shows the company of the disputed payment.
  • Subscriptions and plans - a new subscription asks for the company that bills it, starting on the client's company; a new plan can carry a company as well.
  • Payment links - the Company field on a new link is optional; a link with no company is branded by the organization.
  • Financing - a financing deal carries the company of the invoice it pays.

Filters and the Company column

Overview, Payments, Financing, Subscriptions, and Disputes each carry a Company filter and a Company column, on the web and in the phone app. The filter reads All companies for members who see every brand and Your companies for members assigned to specific ones; your pick follows you across the money pages and both devices. The Overview adds a By company card, and the Payments CSV export includes the Company column. Members who see every brand also get a No company choice for payments that were never assigned one.

Payouts are not per company

Company assignment describes who collected the money, not where it goes. The workspace keeps one bank account, one balance, and one payout schedule; the Payouts page has no company filter and no per-company breakdown.

Who sees which company's money

A member assigned to specific companies (open the member under Operations -> Team and use the Companies card) sees only those companies' payments, subscriptions, financing deals, and disputes, and can collect only for those companies. The workspace owner, and members you have not limited to specific companies, see everything. Members limited to companies do not see the Available Balance and next payout tiles on the Overview; the Payouts page is controlled by the "view payouts" permission alone.

infoCreating a member assigns no companies. Assign every brand employee on their member page before you rely on the separation - an unassigned member sees every company's money.
