Genaya AI answers from your live records. The memory is the part it keeps between conversations: facts about your business, what your words mean, how numbers are counted, and the rules your team has told it. There is one shared memory for the whole organization and one small personal memory for each member. Everything in it is written in plain language, shows in Settings, and can be changed or removed at any time.

An answer that applied a saved rule says so with a chip under it.

What the organization memory holds

KindExampleWho can add it
DefinitionRevenue = payments collected, not invoices sent. Open invoice = sent and still carrying a balance.Needs approval
DefaultThe week starts on Monday. Canceled appointments are left out unless you ask for them.Needs approval
VocabularyWe say "patients", not "clients". A "visit" is an appointment.Needs approval
FactTwo service vans. Busy season is May to September.Needs approval
RuleAlways show money with cents. Compare a month to the same month last year.Needs approval
Personal preferenceAnswer in Spanish. Short answers. Default period: this month.Applies at once, only for you

The memory starts already filled from your settings: the week start and time zone from your calendar, the words your industry uses, revenue counted as collected payments, an open invoice counted as sent with a balance, and canceled work left out. You do not have to set anything up before the first question.

Four ways to teach it

  1. 1
    Say it in the chat

Type it like you would tell a new hire: "Remember that revenue means collected payments" or "From now on call them patients". Genaya proposes the memory and shows a card with what it understood.

A memory proposal card - the owner approves or rejects it right in the chat.
  2. 2
    Use Remember this

Every answer has a Remember this chip, and the composer has one too. Pick what to keep - the whole answer or one line - and whether it is for the organization or just for you.

  3. 3
    Correct a wrong answer

Thumbs down, then write what should have happened (a full sentence, not a single word). Your correction becomes a proposal so the same mistake is not made twice. You will see "Sent to the owner for review".

  4. 4
    Let it learn overnight

Once a night Genaya reads the day's conversations and proposes the facts and rules it noticed. They arrive in the Review tab labeled Learned from yesterday's conversations - nothing is used until someone approves it. Every proposal shows the reviewer a short quote of the words it came from, so the owner and the admins who review may see a line from another member's chat with that member's name on it; contact details are removed from the quote first.

Who approves what

Anything shared with the whole organization - definitions, defaults, vocabulary, facts and rules - needs the owner or an admin whose role includes Approve and edit what Genaya AI remembers about the business (Settings > Roles & Permissions > Genaya AI). Approve or reject with the chips on the card in the chat, or in Settings > Genaya AI > Memory > Review. An approved entry reaches new answers within a minute (the Memory page itself always shows the current state). Personal preferences apply at once and never go through review, because they only change your own answers.

infoOne exception: when the answer that produced a memory read text from a record, a pasted note, a photo or a file, the memory always waits for review - even when the owner asked for it. The card says "this turn read text from a record or document, so it waits for review". That keeps a stray line in a document, or a caption in a photo, from teaching Genaya something about your business.
The Review tab - proposals from the team, from corrections and from the nightly pass, each with Approve and Reject.

Seeing it at work

When an answer applied one of your rules, a chip under it reads Used your rule: revenue = collected payments, and the "How this was counted" line says the same. If a rule is wrong, forget it in Settings > Genaya AI > Memory > Rules (on the web the chip opens that tab), or tell Genaya in the chat to forget it and approve the card. Genaya also remembers the questions you asked and how it answered them well - the question and the filters that answered it, kept for up to 180 days - so a repeated question is answered the same way; those past questions are yours and are never shown to other members.

Settings > Genaya AI > Memory

Profile
The approved organization memory, grouped by definitions, defaults, vocabulary and facts. Edit a line or forget it.
Rules
The rules Genaya follows in every answer, with where each one came from.
Review
Proposals waiting for approval, with the source (a member, a correction, the nightly pass) and the quote they came from.
Sources
The files, pasted text and Google Sheets links added to your projects, and the ones shared with the organization - never the photos and files attached to a chat message, which stay with their conversation. See "How to add sources to a project".
My memory
Your language, answer format, default period and personal facts. Only you see them; change or clear them here.
Data
Export everything as JSON or Markdown, switch strict mode (owner or admin), and see when the memory last changed.

The same tabs are on the phone under Settings > Genaya AI > Memory. The Home dashboard has a Genaya AI learned widget with the latest approved rules, the proposals waiting for review and the shared sources.

What is never stored

  • Passwords, API keys, sign-in codes, "the password is ..." phrases and other secrets - removed before anything is saved.
  • Card numbers, bank account and routing numbers, IBANs and government ID numbers named next to their label - removed.
  • Health details about a person - refused when recognized (an English, Hebrew and Spanish word list). Genaya answers "health details are not stored" and keeps nothing.
  • Email addresses and phone numbers inside a memory line - removed. Contact details stay on the client record where they belong.
infoThis is an automatic filter that looks for patterns, not a guarantee. Do not type a card number, a bank detail, a password or a health detail into a memory line, and check the Profile and Rules tabs if you think something slipped through - any line can be edited or forgotten there.

Strict mode goes one step further and keeps names and other identifiers out of the memory altogether, so it holds how you work and never who your customers are. It is on by default for healthcare organizations (data minimization) and the owner can switch it on for any workspace in the Data tab.

Removing memory

Forget any line from the Profile, Rules or My memory tab, or clear your whole personal memory with one button. When a member is removed or disabled, or deletes their account, their personal memory, their proposals, their past questions, the photos and files they attached to their chats and the sources they added to their own projects are erased, including the search copies. Sources they shared with the organization stay, without their name. Closing a workspace erases its organization memory with the rest of its data.

What it costs

Reading the memory is part of every answer and costs nothing extra, and the nightly learning pass is free too - memory never spends a credit. The pass skips a day with fewer than two questions, and trial workspaces are not read overnight. Nothing in the memory is a separate charge, and there is no new unit to watch.

lightbulbStart with the numbers people argue about. Tell Genaya what "revenue", "an open invoice" and "this week" mean for your business once, approve it, and every answer after that counts the same way for everyone.
